Work Order Statuses

What are work order statuses?


Work order statuses are a property of Work Orders, and represent the stage of the lifecycle they are in. They are exclusive, so a work order can only have one status at a time; and fully configurable to adapt perfectly to each company's workflow.

A very interesting way to view work orders by status is through the Kanban Board, which is built with each status as a column.

If you want to mark work orders with multiple properties you can use Work Order Tags.

Configuring work order statuses


To modify your organization's set of work order statuses, go to Settings > Work Order Statuses. Once there, you can click on any of the existing statuses to modify it or press the Create Status button in the top right corner, which will open a popup window. A work order status has the following properties:

  • Name: to identify it in the system.
  • Color: to be able to differentiate the different statuses at a glance.
  • Default: You can check the box if you want this status to be the "default" for your organization. It will be the preselected option when creating a work order manually and will be automatically applied to work orders created by email or WhatsApp.

Once a new status is created, it will appear for assignment to your work orders and you will see a new column in the kanban board that you can reorder wherever you want.

Work order status examples


When creating a new organization, enrutar comes with the following work order statuses, designed for a company that performs one-off jobs and provides quotes beforehand:

  • Pending Quote. The work order has been registered but the quote hasn't been made.
  • Quote Approved. The quote has been made, sent and the customer has approved it.
  • In Progress. The work is underway.
  • Pending Invoicing. The work has finished but the invoice hasn't been sent yet.
  • Invoiced. The invoice has been sent.
  • Paid. The customer has paid.
    Here we can see that the work order will go from one status to another as it progresses. It is very useful for employees to move the work order from one status to the next as actions are completed. Field operators can also do this from the appointment screen.
