Documents

What are documents?

By documents we mean all files attached in Comments as well as those sent or received in WhatsApp Chats. This includes photos, videos and PDF documents but excludes audio files, which are interpreted solely as comments.

To make them easy to find and access, enrutar provides the documents section, where you can see all the documents that have been uploaded to the organization, as well as access the comment or chat they came from.

Using documents

Each document uploaded to enrutar is processed using artificial intelligence to extract a short summary. This summary allows us, from the documents page, to perform natural language searches. For example, if you upload photos of ovens, you can search for oven in the documents page search bar and it is quite likely you will find the photo you are looking for.

From the documents page you can also filter by Customers or Work Orders to find all documents associated with that entity, as long as you have access.

Documents will be stored indefinitely in enrutar's cloud. However, if you want to delete them, it is as simple as deleting the comment where the document is located and it will disappear from the system.

Upload limits per user

Each user has a daily file upload limit.

  • Maximum: 200 files per day per user
  • When it resets: every day at midnight UTC
  • What happens if you exceed it: you will see a notice indicating you have reached the limit and will have to wait until the next day to continue uploading

Limits per file

Each individual file also has restrictions.

Maximum size per file

  • Maximum: 100 MB per file
  • What happens if you exceed it: enrutar will not be able to upload the file and will ask you to use a smaller file

Automatic image optimization

  • enrutar automatically optimizes images so they weigh less and load faster.
  • Approximate target: around 1 MB per optimized image
  • Maximum size: 2048 px on the longest side

If you upload very large photos from your phone, enrutar will adjust them to be lighter and look good.

Storage space

On the documents page you can see the storage usage of your organization to keep track of how much space you are using with files.

  • Limit per organization: 1 GB per user in your organization.
  • Space expansion: if you need more, talk to support and we will help you expand it

Document processing and previews

To ensure files can be accessed quickly within enrutar, we apply processing limits and generate previews.

  • Documents and PDFs: enrutar can extract text to help with summary and search features.
  • Excel: sheets are processed with a limited number of rows and columns to ensure speed.
  • Previews:
    • Thumbnails for images and videos
    • Medium preview for quick loading
    • For videos, several frames are extracted
    • For audio, a waveform preview is generated
  • Document conversion: if a file requires conversion for preview, there is a maximum wait time to avoid blocking.

Allowed file types

You can upload:

  • Images, videos and audio in common formats
  • PDF
  • Office documents Word, Excel, PowerPoint
  • Text files .txt

If you try to upload an unsupported format, enrutar will alert you to use an allowed file type.
