Assignees

What are assignees?


Assignees are the Employees responsible for a work order. They are the people who oversee or manage the work order throughout its lifecycle.

How to assign employees


When creating or editing a work order, you will find the Assignees section where you can select one or more employees or Teams to be responsible for the work order.

What does being an assignee mean?


Being assigned as a responsible person for a work order grants:

  • Access to the work order: if the employee has restricted access, being assigned gives them permission to view and interact with the work order and all its related entities (appointments, comments, documents, customer data, etc.).
  • Automatic follow-up: the employee will automatically start following the work order and will receive notifications about relevant changes.

Differences between assignees and appointment operators


It is important to distinguish between:

  • Assignees (work order level): people responsible for managing the work order as a whole. They have access to all the work order's information.
  • Operators (appointment level): people who will physically carry out a specific appointment. An operator also gains access to the work order through the appointment.

Both assignees and appointment operators are part of the calculated assignment concept used in the Permission System.

Teams as assignees


You can also assign Teams as assignees. When you assign a team, all its members inherit the corresponding access permissions. This is useful for assigning an entire department or work group to a work order at once.

Removing assignees


You can remove assignees at any time from the work order. Note that if the employee had restricted access, removing the assignment will also remove their access to the work order (unless they are still assigned as an operator on one of its appointments).
