Appointments

What are appointments?


Appointments (also called visits) are the scheduled events within a work order where field operators go to perform the actual work. A work order can have multiple appointments — for example, a first visit for inspection and a second one for the repair itself.

Creating appointments


To create an appointment, enter a work order and click Create Appointment on the right side. This will open a form where you can enter:

  • Title: defaults to the work order title but can be modified.
  • Description: defaults to the work order description but can be modified.
  • Date: the day the appointment will take place.
  • Start and end time: the scheduled time window.
  • Operators: the Employees who will carry out the appointment.
  • Route: optionally, the route this appointment belongs to.

The appointment as operator


When an employee is assigned as an operator for an appointment, it will appear on their My Workday screen. From the appointment view, operators can:

  • Clock in and out — record the start and end of work using the time entry buttons.
  • View contact info — see the customer's phone number and location.
  • Add comments — record progress, attach photos, record audio notes.
  • Complete checklists — mark off items from Checklists assigned to the appointment.
  • Create a work report — generate and sign a work report.
  • Change appointment status — mark the appointment as completed.

Appointment statuses


Appointments can have different statuses:

  • Scheduled: the default status when created.
  • Confirmed: the customer has confirmed attendance (can be set manually or automatically via WhatsApp reminders).
  • Completed: the appointment has been carried out.
  • Cancelled: the appointment was cancelled.

Appointments and permissions


Appointment access follows the Permission System:

  • Users with restricted access can only see appointments for work orders they are assigned to (either as a work order assignee or as an appointment operator).
  • Users with management or full access can see all appointments.

Appointments in the Calendar


All appointments are visible in the Calendar view, where you can see them organized by day, week or month. You can also drag and drop appointments to reschedule them.
