Absences
Absences record holidays, sick leave and other periods when an employee is unavailable. Approved absences appear in the Calendar so the office can take them into account when planning Appointments.
Viewing and filtering absences
Open Settings → Absences. Search or filter by employee, status (pending, approved or rejected), absence type and date range.
Restricted Access employees see their own absences. Management and Full Access users can view and manage absences for the team.
Requesting an absence
Click Request absence and enter:
- Absence type.
- Date range.
- Optional notes.
Each type specifies whether approval is required or automatic. Requests that require approval remain pending until reviewed. Two absences for the same employee cannot overlap.
Creating absences for other employees
Management and Full Access users can choose an employee when creating an absence. Absences created by management are approved automatically and added to the Calendar.
Approving, rejecting and editing
From a request's details:
- Management and Full Access users can approve or reject pending requests. A rejection reason is required.
- Employees can edit or delete their own request while it remains pending.
- Management can edit an absence and delete approved absences where needed.
- Details show who approved or rejected the request and when.
When management changes an approved absence, the employee receives a notification.
Absences in the Calendar
Approved absences appear in the Calendar using their type's name and color. They are informational and cannot be dragged, resized or included in bulk appointment editing.
If schedule-conflict warnings are enabled, enrutar warns when you assign an appointment to an employee who is absent. See Schedule conflicts.
Configuring absence types
Full Access users can open Settings from Absences to create and edit types. Each type has a name, a color also used in the Calendar, and a Requires approval option. This supports policies such as holidays, sick leave, family leave or unpaid leave.
Notifications
Under Settings → Notifications → Absences, each user can configure alerts for a new pending request, an approved request, a rejected request and an updated absence.
