Time Entries
What are time entries?
Time entries in enrutar record the time that operators spend on Appointments. They are created when an operator clocks in and out of an appointment, providing an accurate record of time spent on each job.
How to create time entries
From the appointment screen, operators can:
- Click
Startto clock in and begin recording time. - Click
Finishto clock out and stop recording.
The time entry will record the start time, end time and total duration.
Delegated time entries for colleagues
The organization can enable Allow delegated time entries in Organization Settings. When enabled and an appointment has several assigned operators, you can select which colleagues should also be included when you start, pause, resume or finish a time entry.
The selector shows each colleague's status and lets you choose only people who can perform that action at that moment. For example, only colleagues with a time entry in progress are available when pausing.
This lets one person manage time for a crew without opening the appointment under every account.
Viewing time entries
Time entries can be viewed:
- On the appointment detail page.
- On the Time Entries screen, where you can see all time entries across the organization.
- On the Reports Screen, for aggregate reporting.
Filtering time entries
The time entries screen allows you to filter by:
- Employees
- Customers
- Work Orders
- Date range
- Search bar
- Column sorting
Planned and actual time in reports
The report includes Planned start and Planned end, derived from the associated appointment. These columns, together with Appointment and Appointment title, are hidden by default and can be enabled from the Customize columns gear.
Difference is displayed by default and calculates actual working time minus the appointment's planned duration: positive values appear in red, while zero or negative values appear in green. CSV exports include both planned and actual data even when some columns are hidden on screen.
Time entry permissions
According to the Permission System:
- Users with restricted access can only view their own time entries.
- Users with management or full access can view all time entries and create, edit or delete them.
Time entries and work reports
The time recorded in time entries is automatically included when generating Work Reports, providing an accurate record of time spent on each appointment.
Time Entries Map
enrutar provides a Time Entries Map where you can see the geographical location of all time entries, making it easy to track where your team is working.
