Work Order Tags

What are work order tags?

Work order tags are labels that you can assign to Work Orders to classify them. Unlike statuses, a work order can have multiple tags at the same time.

Tags are useful for categorizing and filtering your work orders in a way that complements statuses. They are fully configurable by your organization.

Configuring work order tags

To manage your organization's tags, go to Settings > Work Order Tags. From here you can:

  • Create new tags by clicking Create Tag.
  • Edit existing tags by clicking on them.
  • Delete tags you no longer need.

Each tag has a name and a color so they are easily distinguishable at a glance.

Using tags

Once your tags are configured, you can assign them when creating or editing a work order. You can assign multiple tags to the same work order.

Tags appear in the work order list and the Kanban Board, making it easy to visually identify and filter work orders by type.

Tag examples

Here are some common ways companies use tags:

By type of service:

  • Installation
  • Maintenance
  • Repair

By priority:

  • High priority
  • Medium priority
  • Low priority

By system type (for HVAC companies):

  • Boiler
  • Air conditioning
  • Radiator

You can combine tags from different categories — for example, a work order could be tagged as Installation + Boiler + Low priority.

Filtering by tags

Tags become very powerful when combined with the Filter System. From the Work Orders or Kanban Board screens, you can select one or more tags to filter and quickly find all matching work orders.

Tags are also available as a filter on the Work Reports screen.
