Estimates
Creating an estimate
Estimates record a commercial proposal for a customer. They are separate from work order statuses, with their own status, versions and history.
- Open Business > Estimates and select
Create Estimate. - Enter the title and customer. Review the estimate's contact phone, email and address; enrutar preselects them when the customer has only one valid option, and you can enter different ones.
- Add an expiry date and notes if needed. Notes are visible to the customer.
- Under
Goods and Services, select catalogue articles or enter custom lines. Check each line's quantity, unit price, tax and any percentage or fixed-amount discount. - Review delivery channels before saving. On a new estimate, the channels configured in customer notifications are selected by default. Clear them if you want to keep that estimate as a draft only; this does not change the organization's preferences.
You can create an article from the selector and return to the estimate without losing the form details. If you enter an identifier, it must be unique within the organization.
Access and assignees
Creating and managing estimates requires Enterprise and Management or Full access. With Restricted access, you can only read estimates with an active assignment that reaches you directly or through a team you belong to. Leaving the team or removing that assignment revokes access. Existing documents remain readable, subject to your permissions, if the organization leaves Enterprise.
The creator is assigned automatically. Use the sidebar to manage assignees, which can be employees, agents or teams.
Status, versions and acceptance
On desktop, choose Edit in the status section; on mobile, use Update status. Move forward through Draft, Sent and Accepted. You cannot move back to an earlier step with this selector. You can also cancel an estimate.
- Draft: edit it without creating another version.
- Sent or canceled: use
Edit as new versionto prepare a new draft without replacing the earlier version. - Accepted: its content is locked.
When accepting, check the selected option: Accept and create issue is selected initially, together with copying comments. This opens the full work order form with the customer, title, notes and contact details already filled in. You can complete or correct the work order before creating it; saving it also copies the estimate lines and then accepts the estimate. Choose Accept only if you do not want to create a work order yet. If you accept it that way, return to the status selector to create the work order later.
Open versions from the sidebar and download the PDF for the version you need. Finalized version PDFs are preserved: editing the estimate or changing the document design does not replace those PDFs. The tax breakdown groups tax amounts by each line's tax type, regime and qualification.
Sending to the customer
In Update status, choose Sent and select Send through WhatsApp, Send through email or both. The button becomes Send to customer. If you select no channels, Mark as sent only records the status; it does not send a message.
Delivery uses the phone or email saved on the estimate. A missing or invalid contact detail disables that channel and shows the reason. A channel also prevents another send of the same version when already sent or being sent. Check the Sending indicator and history to distinguish an ongoing send from a completed or failed one.
On WhatsApp, the customer receives an invitation to receive the document and gets the PDF after accepting delivery. Accepting PDF delivery does not approve the estimate. In the conversation, the automated estimate delivery is attributed to EVA.
Comments, history and archiving
Estimates have their own comments, attachments and mentions, plus action and delivery history. Comments can be managed while the estimate is draft or sent and not archived. Other states are read-only; if a work order is linked, continue the conversation there.
Archiving is not cancellation: it removes the estimate from the active list without deleting its status or history. Unarchive it to bring it back. In the list, select Select to mark several estimates and archive or unarchive them together.
Dates follow the interface language, and history timestamps use the organization's time zone.
Searching and filtering
The list includes Assignees and Created at columns. In the filter panel, Open shows non-archived estimates and Archived shows archived ones. Open does not restrict the list to a particular lifecycle status.
Combine the Status, Assignees and Customers groups. Each supports multiple values; assignees include Unassigned. If an estimate has several assignees, matching any selected assignee is enough. You can search within the assignee and customer groups as well as use the list search. Select date range... filters by creation date when you provide both a start and end date.
